Vice President of Operations

Fiona Hutton & Associates is looking for a highly-driven, finance-oriented operations professional to join our Los Angeles-based agency. This position provides a unique opportunity to help guide a fast-growing company as it scales upward, institutionalizes its client service delivery model, expands offerings and reaches into new geographic markets.

This role reports directly to the President. Primary accountability is to protect company assets, recruit and retain talent, proactively help ownership manage agency for smooth growth, oversee agency operations and ensure employees have tools and processes to be successful. Primary Responsibilities

Strategic Support

  • Help manage agency for growth and profitability
  • Work with and drive ownership to develop and execute decisions against annual strategic growth and financial plans
  • Prepare and lead quarterly review of progress against plans
  • Attend and participate in senior management meetings
  • Develop ROI scenarios for ownership with each proposed investment and key senior hires
  • Develop competitive pricing structure and set billing rates
  • Work with ownership to develop a staff architecture to profitability with investment

Finance

  • Manage Accounting Manager
  • Direct and interpret weekly, monthly and bi-annual financial forecasts and reports
  • Oversee development of annual budget
  • Ensure agency time tracking system and reports are functional and in line w/best practices

People Development

  • Drive tone of agency culture
  • Oversee development of employee policies and ensure adherence to policy manual
  • Oversee benefit programs and renewals
  • Manage staff hiring and integration/onboarding process
  • Drive performance review and career roadmap systems
  • Develop standardized templates/models for training employees on client service

Legal

  • Ensure corporate documentation with attorney is kept up to date
  • Serve as custodian of all legal agreement templates
  • Oversee contracts with clients, subcontractors and employees

Information Technology

  • Ensure team has sound/modern infrastructure & equipment necessary to be efficient
  • Manage integration of new technology, software and equipment
  • Oversee management of IT service company
  • Ensure agency has necessary subscription services needed for new biz and client service
  • Oversee website

Office Management

  • Manage Executive Assistant, administrative and operations staff
  • Manage facilities (leases, furniture, maintenance, etc) & equipment

Skills & Abilities

  • Strong leadership and interpersonal skills; articulate and able to communicate clearly and effectively with staff, clients and external audiences
  • Effective manager; able to look ahead, plan and drive execution of strategies

Experience Requirements

  • Minimum 10 years of experience in a similar role
  • Clear understanding of service-oriented businesses, financial models and billing structures
  • Prior experience working in a public relations/advertising/digital agency or other professional services firm preferred but not requirement
